This is a PRO feature (not available in the free version).

A salary statement goes through several stages. First, you create it as a Draft (or it is automatically created through a recurrence). After reviewing and adjusting the salary types if necessary, you set the status to "Open". Then, you send the salary statement to the employee ("Sent" status). Next, you create a payment order (pain.001) for one or more salary statements ("Payment ordered" status). Finally, after processing the payment in your bank account, you mark the salary statement as "Paid", either by recording a payment book entry here or by importing bank transactions (camt.052/053/054).

This entire process is primarily handled via the "Next step" button. The available steps are:

Change status [more]
Updates the status of the salary statement (e.g., from Draft to Open).

Actions [more]
Allows you to create a payment order (pain.001) or record a payment.

Note: All these steps can be performed for a single document or multiple documents at once.

Change Status

Under Salary configuration / Status, the following statuses are preconfigured:

Draft, Open, Sent, Payment Ordered, Paid, Skipped

However, you can customize this workflow to fit your needs (see Status).

To change the status of a document, simply click Next Step and select the desired status.

Linked actions

A status may have an action linked to it, which is executed automatically when the status is changed (e.g., sending an email, creating a payment order, or recording a payment). You will always be prompted before the action is carried out.

Status effects

By default, a status change only updates the status field. However, statuses can have additional effects:

  • Determining whether journal entries are created (e.g., in Draft, no entries are generated).
  • Marking the document as finalized (salary statements with the status Paid or Skipped are considered completed).

Actions

Create payment order [more]
Generates a payment order (pain.001 or PDF) for one or more salary statements.

Book payment [more]
Records a full or partial payment for one or more salary statements. The payment transaction will then appear under Book entries.
